Frequently asked questions

Everything you need to know about Enaviya Meet: meetings, AI notes, webinars, security, plans and billing. Pick a topic or search, then tap on a question to see the answer.

Getting startedWhat is Enaviya Meet?

Enaviya Meet is a video conferencing service that runs in your web browser. You can host meetings, video calls, classes and webinars, and on the Professional and Business plans an AI Note Taker writes the summary, decisions and action items for you. Live captions can be translated into more than 100 languages so mixed-language teams can follow along.

Getting startedIs Enaviya Meet free?

Yes. The Basic plan is free and needs no credit card. It includes HD video meetings, a personal room, scheduling, the waiting room, screen sharing, chat, polls, breakout rooms, the live transcript and translated captions. The AI Note Taker is available on the Professional and Business plans, cloud recording on the Professional and Business plans, the meeting banner on the Professional and Business plans, team accounts on the Professional and Business plans, booking pages on the Professional and Business plans and webinars on the Business plan. Compare plans.

Getting startedHow do I create an account?

Go to Sign up, enter your email address and we send you a 6-digit confirmation code. Enter the code to activate your account and you land on your dashboard. If your organisation uses Google or Microsoft 365 and those buttons are shown, you can sign up with your work account instead.

Getting startedDo I need to download an app?

No. Hosts and guests both use the browser, so nothing needs to be installed. If you prefer one-click access, use Install app in the menu to add Enaviya Meet to your desktop, Android phone or iPhone home screen.

Getting startedWhich browsers and devices are supported?

Use an up-to-date Chrome, Edge, Firefox or Safari on Windows, macOS, Linux, Android, iPhone or iPad. Chrome and Edge give the best experience, and optional end-to-end encryption needs a Chromium-based browser such as Chrome or Edge.

Getting startedHow do I start my first meeting?

Sign in and open your personal room from the dashboard, then copy the invitation and share it. Your personal room is always ready, so you can use it for quick calls. To plan ahead, choose Schedule a meeting, pick a date and time and invite people by email.

Getting startedHow do participants join a meeting?

The easiest way is to click the meeting link in the invitation. Participants can also open Join a meeting and type the Meeting ID and password. They enter their name, allow the camera and microphone, and wait in the waiting room until the host admits them.

Getting startedDo participants need an account?

No. Only people who host meetings need an account. Guests join from the link with just their name, and can optionally add an email address so they appear by email in the host's attendance report.

Getting startedHow many people can join a meeting?

Paid plans support up to 300 participants per meeting. The exact limit for each plan is listed on Plans & Pricing. For bigger audiences, webinars (on the Business plan) move extra attendees to a live stream.

Getting startedIs there a user manual?

Yes. Watch the free user manual video for a short guided tour (no sign-in required). After you sign in, open Help and choose User manual for the full written guide to every page, including scheduling, recordings, notes, webinars, booking pages and billing.

Getting startedIs there a user manual video?

Yes. Open the full user manual video for narrated chapters covering every section of the written manual — sign-in, roles, meetings, AI notes, captions, recordings, webinars, booking, billing, users and more. Voice is on by default; you can turn it off. Play the whole tour or jump to a chapter. Signed-in users can also open it from Help → User manual video.

Getting startedIs Enaviya Meet an alternative to Zoom, Google Meet or Microsoft Teams?

Yes. It covers everyday video conferencing, including screen sharing, chat, polls, whiteboard and breakout rooms, and adds built-in AI notes, translated captions, spoken interpretation and booking pages, all without installing software.

Account & sign-inI did not receive my confirmation code. What should I do?

Wait a minute, then check your spam, junk and promotions folders for "Your Enaviya Meet activation code". Make sure the email address was typed correctly; if not, sign up again with the right address. If it still does not arrive, contact support.

Account & sign-inI forgot my password. How do I reset it?

Choose Forgot password on the sign-in page and enter your email. We email you a temporary password; sign in with it and you will be asked to choose a new password of at least 7 characters.

Account & sign-inWhy can I not sign in after several attempts?

To protect your account, sign-in is paused for 30 minutes after 10 failed attempts. Wait and try again, or use Forgot password to set a new one. If you think someone else is trying to get into your account, contact support.

Account & sign-inCan I sign in with Google or Microsoft 365?

Yes. Use Sign in with Google or Microsoft 365 on the sign-in page. Your Enaviya Meet account is matched by email address, so use the same address you signed up with.

Account & sign-inHow do I turn on 2-step sign-in?

Open My account and choose 2-step sign-in. Scan the QR code with any authenticator app (such as Google Authenticator, Microsoft Authenticator or Authy) and enter the 6-digit code. You get 10 one-time recovery codes; keep them somewhere safe.

Account & sign-inI lost the phone with my authenticator app. How do I get in?

Enter one of your recovery codes instead of the 6-digit code. Each recovery code works once, and you can create a new set from the 2-step sign-in page. If you have lost both your phone and your recovery codes, contact support; we reset 2-step sign-in after verifying your identity.

Account & sign-inHow do I change my time zone, date format or language?

Open My account and choose Preferences. Your time zone is used for meeting times on your dashboard and in invitations, so set it before scheduling.

Account & sign-inHow do I update my name, photo or password?

Open My account and choose User profile. There you can change your name, photo, job title, department, location and password.

Account & sign-inWhat are the user roles in a team account?

Paid accounts can have several users. The Owner and Account Admins manage users, billing and plans. Group Admins manage the members of their own group. Members host their own meetings. Each user who hosts meetings uses one host license.

Account & sign-inHow do I add users to my team?

On a paid plan, the Owner or an Account Admin opens Users and adds people by email. You can add as many users as you have host licenses; buy more licenses from Billing. Use Groups to organise users by team or department.

Account & sign-inHow do I delete my account or my data?

You can delete your own recordings and notes at any time. Team members are removed by the account Owner or an Account Admin. To close a whole account or ask for a copy, correction or deletion of your personal data, email enaviyameet@enaviyatech.com.

MeetingsWhat is my personal room?

Your personal room is a permanent meeting space with its own link, Meeting ID and password. Use it for instant meetings and regular calls. You can change its name and password and copy the invitation from the Personal room page.

MeetingsHow do I schedule a meeting?

Choose Schedule a meeting, enter a topic, date, start time, duration and time zone, and set a 6-character password. Invite people by typing email addresses or by picking a group or email list. When you save, invitees receive an email with the link and a calendar invitation.

MeetingsCan I schedule recurring meetings?

Yes. Turn on recurrence and choose daily, weekly, monthly or yearly, with up to 100 occurrences. You can later change a single occurrence or the whole series, and invitees receive an updated calendar invitation.

MeetingsCan I save meeting settings as a template?

Yes. When scheduling, choose Save as template. Next time, pick the template to reuse the topic, duration, options and (on the Professional and Business plans) the AI summary template.

MeetingsHow do I add a meeting to Google Calendar or Outlook?

Invitation emails include a calendar file that most mail apps add with one click. After scheduling, you can also choose Google Calendar, Outlook / Office 365 or download an .ics file. The Outlook and Google Calendar add-ins let you create meetings without leaving your calendar.

MeetingsWhat happens when I edit or delete a meeting?

Invitees are emailed automatically. An edit sends a "Meeting updated" email with a new calendar invitation, and a deletion sends a "Meeting cancelled" email that removes the event from most calendars. Cancelling one occurrence of a recurring meeting only cancels that session.

MeetingsHow does the waiting room work?

By default everyone waits in the waiting room until the host lets them in. The host sees each request and can Admit, Chat with or Reject the person. To let people in straight away, tick Allow people to enter without host approval when scheduling.

MeetingsWhat can the host control during a meeting?

From the More actions menu the host can mute one person or everyone, lock the meeting, make someone a co-host, remove a participant, start a break timer, show a meeting banner, turn on approval to enter and end the meeting for everyone. When scheduling, you can also mute participants on entry or stop them from sharing their camera.

MeetingsCan I add a co-host?

Yes. During the meeting, open the participant list and make any participant a co-host. Co-hosts can admit people, mute participants and help run the room.

MeetingsCan I share my screen?

Yes. Click the screen-share button and choose a whole screen, a window or a browser tab. To share sound from a video, share a browser tab and tick the share-audio option. One person shares at a time.

MeetingsWhat collaboration tools are available in a meeting?

Everyone can use chat (public and private), reactions, raise hand, the whiteboard, shared notes and file sharing. Hosts can run live polls and open breakout rooms for small-group work.

MeetingsCan I play a video for everyone at the same time?

Yes. Use Share an external video and paste a YouTube link or a direct video link. It plays in sync for every participant, and the host controls play and pause.

MeetingsWhat is the meeting banner?

On the Professional and Business plans, a scrolling message of up to 200 characters can run across the meeting, for example a welcome note or agenda. Choose a blue, yellow, red or clear background and place it at the top, middle or bottom. The host can move or hide it during the meeting.

MeetingsHow do I record a meeting, and where do recordings go?

On the Professional and Business plans the host starts recording from the meeting toolbar. When the meeting ends, the recording appears on the Recordings page, where you can play, share, download or delete it. Recordings are kept for your plan's retention period, shown on that page.

MeetingsCan I live stream a meeting to YouTube?

Yes. On plans that include recording, the host can start a live stream to YouTube with a stream key from YouTube Studio.

MeetingsIs there a time limit on meetings?

Yes. The free Basic plan has a shorter meeting length, and paid plans allow much longer meetings. The limit for each plan is on Plans & Pricing. When a meeting reaches the limit it ends with a "Meeting time limit reached" message, and you can start a new one or upgrade.

MeetingsCan I see who attended a meeting?

Yes. The Attendance page lists meetings from the last 120 days with each person's join time, leave time and duration. You can export the report to CSV.

AI notes & captionsWhat does the AI Note Taker do?

On the Professional and Business plans, the AI Note Taker listens to the meeting and writes a structured summary with key points, decisions and action items with owners and due dates. The full transcript with speaker names is saved alongside it.

AI notes & captionsHow do I start the AI Note Taker?

In the meeting, open the notes panel and click Start AI Note Taker. To have it join automatically, tick the AI Note Taker option when you schedule the meeting; it joins as soon as the first person arrives. Notes save automatically and the summary is ready shortly after the meeting ends.

AI notes & captionsIs a live transcript available on the free plan?

Yes. Every plan can show a live transcript during the meeting. The Basic (Free) plan also keeps saved notes and transcripts for a short retention period so you can use Ask AI and download them; paid plans keep them longer and add cloud recording, webinars and team features. Compare plans.

AI notes & captionsHow do I read captions in my own language?

In the meeting, open More actions, then Captions, and pick a language under Show captions in. More than 100 languages are available, and each participant can choose their own.

AI notes & captionsCan the meeting be read aloud in my language?

Yes. In the captions panel choose a language under Listen in. Spoken interpretation reads what others say aloud in that language with a natural voice, so you can follow without reading.

AI notes & captionsI joined late. Can I catch up on what I missed?

Yes. Use Catch me up in the captions panel to get a short AI summary of the conversation so far.

AI notes & captionsWhat summary templates are available?

General, Daily stand-up, Sales / client call, Class / lecture, Interview, Board / formal minutes, 1:1 meeting and Retrospective. Choose one when scheduling or for your booking page, or set a default on the Notes & Transcripts page.

AI notes & captionsWhere do I find my meeting notes and transcripts?

Open Notes & Transcripts. Each meeting has its AI recap, full transcript and (if recorded) a link to the recording. You can view, edit, download or delete them. Only the meeting organiser sees them unless they choose to share.

AI notes & captionsHow do I share the recap with attendees?

From the recap, choose to email it to attendees, optionally with the recording link. You can turn on auto-send for future recaps, and post recaps to a Slack or Microsoft Teams channel by adding the channel's incoming webhook.

AI notes & captionsCan I ask questions about my meetings?

Yes. Use Ask Companion on any recap to ask about that meeting, or Ask AI across all my meetings on the Notes & Transcripts page, for example "What did we decide about the budget?". Answers can link to the exact moment in the recording.

AI notes & captionsHow do I track action items?

Open My action items to see tasks from all your meetings. Tick items done, set or change due dates, filter by status or date, and show only items assigned to you. You can send action items to Trello, Jira, Asana, Todoist or a webhook, or export them to CSV or a calendar (.ics) file.

AI notes & captionsCan I get notes from a recording I already have?

Yes. On the Professional and Business plans, upload an audio or video file of up to 25 MB (MP3, M4A, WAV, OGG, WEBM, MP4, MPEG, FLAC, MOV or AAC) and get a transcript and AI summary. The uploaded file is discarded after transcription; only the transcript and summary are kept.

AI notes & captionsCan it take notes for an in-person meeting?

Yes. With In-person notes on a paid plan, record a face-to-face meeting on your phone (up to about 2 hours) and get a transcript and AI summary. If your connection drops, the recording waits under "Waiting to upload" until you are back online.

AI notes & captionsThe AI misspelled a name or got something wrong. Can I fix it?

Yes. You can edit the recap before sharing it. Speech recognition works best when people speak one at a time, close to the microphone, and when attendees join with their real names.

AI notes & captionsIs my meeting content used to train AI models?

No. Transcripts are sent to our AI provider only to produce your summary or answer, and are not used to train models. AI features are optional and can be left off for any meeting. See Trust & security.

Webinars & bookingHow do I host a webinar?

Webinars are on the Business plan. Schedule a meeting and tick Webinar mode. The webinar appears under Webinars with a public registration page; share that link and each registrant receives a personal join link by email.

Webinars & bookingWhat is the difference between panelists and attendees?

Panelists, added by the host, can speak, use their camera and share their screen. Attendees join muted and view-only; they can raise a hand, chat, answer polls and ask questions.

Webinars & bookingWhat happens when a webinar gets very large?

When the host chooses Go live, the webinar is also broadcast as a live stream. Once the room is full, new attendees watch the stream in their browser with a delay of about 10 to 20 seconds and can still send questions. Stop any recording before going live.

Webinars & bookingHow does webinar Q&A work?

Attendees submit questions, optionally anonymously. With moderation on, the host can Approve, Answer or Dismiss each question, and the attendee sees when their question is approved. Q&A closes when the webinar ends.

Webinars & bookingCan I see who registered and who attended?

Yes. The webinar page lists registrants with a Joined column, and you can export the list to CSV. The Attendance page also shows join and leave times.

Webinars & bookingWhat is a booking page?

On the Professional and Business plans you get a public booking link. Clients pick a free slot from your availability, the meeting is created for you, and both of you receive a confirmation email with the meeting link. Times that clash with your other meetings are hidden.

Webinars & bookingWhat can I set on my booking page?

Meeting length (15 minutes to 2 hours), gap between meetings, minimum notice, how far ahead people can book, your available days and hours, your time zone, and whether the AI Note Taker joins with a chosen summary template.

Webinars & bookingCan a client cancel a booking?

Yes. The booking confirmation email includes a cancel link, and the slot becomes available again.

Webinars & bookingCan I save groups of people to invite?

Yes. Create Email lists on any plan and pick a list when scheduling to invite everyone on it. Team accounts can also invite a whole Group of users.

Security & privacyIs Enaviya Meet secure?

Yes. All web traffic uses HTTPS, and audio, video and screen sharing are encrypted in transit. Every meeting has its own ID and password, hosts admit people from a waiting room, and optional end-to-end encryption is available. Read more on Trust & security.

Security & privacyHow do I keep uninvited people out of my meeting?

Keep the waiting room on so you approve each person, share the link and password only with invitees, and lock the meeting once everyone has arrived. You can remove anyone who should not be there.

Security & privacyWhat is end-to-end encryption and when should I use it?

End-to-end encryption means only participants can decrypt the audio and video. Turn it on from the meeting's Security menu for sensitive calls. It works in Chromium-based browsers with up to 20 participants, and while it is on, recording, live transcription and the AI Note Taker cannot capture the meeting.

Security & privacyWho can see my recordings, transcripts and notes?

Only the meeting organiser. They are shared with others only when the organiser sends a recap or shares a recording link.

Security & privacyHow long are recordings and notes kept?

They are kept for your plan's retention period, shown on the Recordings and Notes & Transcripts pages and on Plans & Pricing. Download anything you want to keep longer. You can delete your own recordings and notes at any time.

Security & privacyHow do I make a privacy request or report a security issue?

Email enaviyameet@enaviyatech.com. You can ask for a copy, correction or deletion of your personal data under laws such as the EU GDPR. See our Privacy Policy for details.

Plans & billingWhat plans are available?

The plans are Basic, Professional and Business. Basic is free for personal meetings. AI notes and recording are available on the Professional and Business plans, the booking page on the Professional and Business plans, and webinars on the Business plan. See the full comparison on Plans & Pricing.

Plans & billingHow is pricing calculated?

Paid plans are priced per host license, and you choose monthly or annual billing. Annual billing costs less overall. Prices are shown in your local currency, and you can switch country on the pricing page. Applicable sales tax or GST is shown at checkout.

Plans & billingWhat is a host license?

A host license lets one user host meetings with paid-plan features. Buy one license for each person on your team who needs to host. Participants who only join meetings do not need a license.

Plans & billingIs there a free trial?

There is no time-limited trial. Instead, the Basic plan is free for as long as you like, so you can try meetings before you upgrade. To see paid features first, request a demo.

Plans & billingWhich payment methods do you accept?

Credit and debit cards in most countries. Depending on your country, checkout may also offer local options such as PayPal or bank transfer. The available methods are shown at checkout.

Plans & billingCan I use a promo code?

Yes. Choose Add promo code at checkout. Codes are valid for certain countries and dates, and the discount is shown before you pay.

Plans & billingDoes my plan renew automatically?

Yes. Plans renew at the end of each monthly or annual period at the price in effect on the renewal date. If you paid by card, the saved card is charged automatically; turn this on or off, or remove the card, under Billing then Automatic payments. Other payment methods are paid from Invoice history when the renewal invoice is issued.

Plans & billingWhat happens if a payment fails or an invoice is overdue?

We email you a link to pay, with reminders during a short grace period. If the invoice stays unpaid, hosting features are paused until it is paid, but participants can still join meetings. Pay from Billing then Invoice history to unlock everything immediately.

Plans & billingHow do I upgrade, add licenses or switch to annual billing?

The account Owner or an Account Admin opens Billing. Choose Upgrade now for a higher plan, or Edit plan to add licenses or change the billing period. Changes take effect immediately and are prorated for the rest of the current period.

Plans & billingHow do I downgrade or cancel my plan?

In Billing, choose Decrease license, Downgrade plan or Cancel plan. Changes apply right away. Cancelling moves the account to the free Basic plan and stops auto-renewal. If your team has more users than the lower plan allows, remove users first. You can upgrade again at any time.

Plans & billingDo you offer refunds?

Payments are generally non-refundable, and cancelling does not refund the current period. See the Cancellation & Refund policy for details, and contact support if you think you were charged in error.

Plans & billingWhere can I find my invoices?

Open Billing then Invoice history to view, pay or download invoices as PDF. Update the company name, address and tax number that appear on invoices under Billing information.

Plans & billingWho can manage billing?

Only the account Owner and Account Admins can see billing, change plans and pay invoices. Other users see an upgrade prompt if they open a paid-only feature.

Integrations & APIIs there an Outlook or Google Calendar add-in?

Yes. The Outlook add-in works in Outlook on the web, new Outlook for Windows, Outlook for Mac and classic Outlook. The Google Calendar add-on works with Google Workspace accounts. Setup steps are on the Calendar add-ins page after you sign in.

Integrations & APIIs there an API for developers?

Yes. The REST API lets you create, update and delete meetings and read summaries, transcripts, action items and attendance. Create a personal API token on the Calendar add-ins page; it is shown once, so copy it straight away. See the API documentation.

Integrations & APIWhat webhooks are available?

Webhooks notify your system when a meeting is created, updated, deleted or ended, when a summary or recording is ready, and when someone registers for a webinar. Each request is signed with HMAC-SHA256 so you can verify it came from us. Endpoints must use public HTTPS URLs.

Integrations & APIWhich apps does Enaviya Meet connect to?

Recaps can post to Slack and Microsoft Teams. Action items can go to Trello, Jira, Asana and Todoist. Through the API and webhooks you can also connect no-code tools such as Zapier, Make, n8n and Power Automate.

Integrations & APIHow do I keep my API token safe?

Treat it like a password: store it in a secrets manager, never in public code. Tokens are stored only as a one-way hash on our side, show when they were last used, and can be revoked instantly if one leaks.

Troubleshooting & helpOthers cannot hear me or see my video. What should I check?

Allow camera and microphone access when the browser asks (or click the lock icon in the address bar to change it). Check that the right microphone and camera are selected in the meeting settings, that you are not muted, and that no other app such as another video call is using the camera. Reloading the page often helps.

Troubleshooting & helpThe video is freezing or the sound is choppy. How can I improve it?

Move closer to your Wi-Fi router or use a wired connection, close other tabs and downloads, and turn off your camera if your connection is weak. Lowering the video quality in the meeting settings also reduces bandwidth.

Troubleshooting & helpI cannot share my screen on a Mac.

macOS needs permission for your browser to record the screen. Open System Settings, then Privacy & Security, then Screen Recording, turn on your browser, then quit and reopen it.

Troubleshooting & helpI am stuck in the waiting room.

The host has to admit you. Check the meeting time, and let the host know you are waiting. If the meeting has not started yet, you are let in when the host arrives and approves you.

Troubleshooting & helpI did not receive the meeting invitation email.

Check spam and junk folders, and ask the host to confirm your email address. The host can also copy the invitation and send it to you directly, or you can join with the Meeting ID and password on Join a meeting.

Troubleshooting & helpHow do I get help from support?

Signed-in users can open Help, then Customer Support, to raise a ticket, follow its status and reply in the same thread. You can also use the Contact support form, watch the user manual video, or read the User manual under Help.

Troubleshooting & helpHow do I talk to sales or book a demo?

Use Contact sales for team pricing and larger deployments, or Request a demo for a guided tour of Enaviya Meet.

Troubleshooting & helpHow can I suggest a feature or give feedback?

After signing in, open Help and choose Feedback. We read every suggestion.
